Materials Coordinator

(024) $16.45 - $23.44 an hour     $34,216.00 - $48,755.20 a year

JOB PURPOSE: The selected candidate will be responsible for coordinating the procurement of specialized materials, equipment and parts, the storage of such items, and the subsequence issuance of such items. This position also requires general office clerical work and strong customer service/customer relations abilities.

KEY RESPONSIBILITIES:

  • Implements the ordering of equipment, parts, and materials for specialized maintenance and repair.
  • Support the operation during emergencies or special events, such as hurricanes, this may require mandatory recall to work for undetermined lengths of time.
  • Types or uses a variety of computer software to prepare correspondence,reports,contracts,and other materials from copy, rough draft or general instructions.
  • Performs some clerical work and coordinates activities to relieve supervisor of details.
  • Establishes, maintains, and monitors records, files and accounts.
  • May assists in the preparation and control of annual budgets.
  • May be responsible for the preparation of deposits, accounts, employee forms, summaries, and reports.
  • Answers phone and email calls for service, greets walk in customers.
  • Documents service or parts requests.
  • Implements the ordering, receipt, and issuance of electronics, computers, peripheral equipment and software required for city-wide communications support.
  • Establishes and maintains effective communications networks with supply vendors and city purchasing for the process of procuring equipment,parts,and other maintenance materials.
  • Solicits competitive material and supply quotes from vendors;provides vendors with parts and equipment information to effect accurate and competitive pricing.
  • Receives,stores and issues equipment,parts and materials; prepares all forms and purchasing documentation; may coordinate with purchasing on automatic inventory issues.
  • Performs all follow-up on equipment and parts orders not received in a timely manner.
  • Notifies user section supervisors when equipment, repair parts or special order items are received.
  • Monitors spare parts levels and orders all maintenance supplies not on city automatic inventory system as needed.
  • Assists in scheduling installation of equipment on a city-wide basis.
  • Maintains material and equipment control records and related documentation.
  • Performs related work as required.

    DESIRED KNOWLEDGES, ABILITIES, AND SKILLS:
    Considerable knowledge of: maintenance or operations functions of the designated area of assignment; principles, practices and techniques employed in the process of material ordering and receiving; purchasing, material issue, and requisitioning practices and procedures. Proficiency in business English and mathematics; standard office practice, procedures and equipment. Some knowledge of basic electronic components, devices, and theory of operations.
    Ability to: identify and locate normal and unique stock items through vendors, manuals and supply catalogs, including parts for specialized municipal use equipment; establish and maintain effective working relationships with other employees and supervisors, and with suppliers and manufacturers when equipment, parts and materials are required on short notice; identify user needs and operating requirements for various operating or maintenance functions; coordinate and effect material receiving, stocking, and issuing; use MS Office Word, Excel, and Outlook as well as other common computer software; understand and follow complex oral and/or written instructions; prepare clear and concise written reports; maintain complex records; edit and correct correspondence and reports for final typing or production. Some positions may require the ability to lift up to 30 pounds.

    QUALIFICATIONS: Graduation from an accredited high school or vocational school and three (3) years in storekeeping, warehousing or purchasing experience; or an equivalent combination of training and experience.

    LICENSES OR CERTIFICATES: Possession of a valid Florida driverís license.

    EXAMINATION: Evaluation of education and experience. Drug testing is included in all pre-employment processing.
